A practical guide to replying to Google reviews: where to click, what Google advises, and example replies for positive, mixed, negative and fake reviews.

To respond to Google reviews, open your Business Profile, select Read reviews, choose Reply next to the review and post a short, polite answer. Thank the customer by name, mention something specific from their review, fix or explain any problem honestly, and sign off personally. Never share private details or offer deals in a reply.
How do I reply to a Google review?
You reply from your Business Profile on Google Search or Maps, and your profile must be verified first. The reply is checked by Google and then shown publicly under the customer's review as a response from the business.
Sign in to the Google Account that owns or manages your verified Business Profile.
Open your Business Profile on Google Search or Google Maps.
Select Read reviews to see the list of reviews.
Next to the review you want to answer, select Reply.
Type your reply in the dialog box and select Reply to post it.
Google's help page says replies usually take up to 10 minutes to be reviewed, but the check can sometimes take up to 30 days. The person who wrote the review is notified when you reply, and they can choose to update their review afterwards. You can edit or delete your reply at any time from the same Read reviews screen.
What should a good reply to a Google review include?
A good reply is short, specific and personal. Google's own guidance asks businesses to keep replies professional, clear and helpful, to avoid promotions, and to sign off with a name or initials so the customer knows a real person read their feedback.
- Use the reviewer's name, as it appears on the review, and thank them.
- Mention one specific detail from their review so the reply could not be pasted under anyone else's.
- Answer any question or problem they raised, honestly and without excuses.
- Keep it to two to four sentences for most reviews. Long replies are rarely read in full.
- Sign off with your first name, initials or role, for example "Maria, Owner".
- Leave out discounts, promo codes and sales pitches. Google advises against using replies to offer deals.
| Review type | Main goal | Suggested length | What to include |
|---|---|---|---|
| 5 stars with detail | Show you read it | 2โ3 sentences | Thanks, the detail they mentioned, a sign-off |
| 5 stars, rating only or one line | Acknowledge it | 1โ2 sentences | A short, varied thank-you |
| 3โ4 stars with a suggestion | Close the gap | 3โ4 sentences | Thanks, the point they raised, what you are doing about it |
| 1โ2 stars | Resolve and reassure readers | 3โ5 sentences | Apology where fair, the facts, an offline contact route |
| Looks fake or breaks policy | Report it, stay calm | 1โ2 sentences, or no reply | A neutral note that you cannot find a record of the visit |
How do you respond to a positive Google review?
Thank the customer, mention what they liked and keep it brief. Positive reviews are the ones future customers read most, so a specific reply shows that real people run the business.
Here are three example replies. The names and details are placeholders to adapt, not real reviews.
- A customer praises a quick bike repair before a weekend trip: "Thanks, Daniel! Glad we could get the gears sorted before your trip. Enjoy the ride, and say hi next time you're passing. โ Sam, Workshop Manager"
- A diner mentions the server by name: "Thank you, Priya. I'll pass your kind words on to Leo, he'll be thrilled. We hope to see you again for the fall menu. โ Ana, Owner"
- A star-only five-star rating with no text: "Thanks for the five stars, Chris. We appreciate you taking the time. โ The team at Oak Street Cafรฉ"
Vary your wording. Google suggests making replies count rather than sending the same thank-you to everyone, and a page of identical replies looks automated to readers.
How do you respond to a mixed or 3-star review?
Thank the reviewer for the positives, then deal with the criticism directly. Mixed reviews often contain a fair point, and a reply that shows what changed is useful to every later reader.
- A customer liked the haircut but waited 25 minutes past their booking: "Thanks for the feedback, Jordan, and I'm glad you're happy with the cut. You're right that we ran late on Saturday; we've since added a buffer between appointments at weekends. Hope to see you again soon. โ Kim, Salon Owner"
How do you respond to a negative Google review?
Reply calmly, apologize where it is fair, and move the details to a private channel. The reply is written as much for future customers as for the reviewer, so a measured tone matters more than winning the argument.
Check your records first so you know what actually happened.
Thank the reviewer and acknowledge the specific problem in plain words.
Apologize for what went wrong, without accepting blame for things outside your control.
Explain briefly what you have done or will do, if anything has changed.
Give a direct contact route, such as a phone number or email address for the manager, and sign with your name.
- A customer says their delivery arrived late and cold: "Hi Alex, I'm sorry your order arrived late and cold on Friday. That's not the standard we aim for. We were short a driver that evening and should have warned you about the delay. Please email me at manager@yourbusiness.com so I can put this right. โ Tom, General Manager"

What if a Google review looks fake or breaks the rules?
Report it to Google and, if you reply at all, keep the reply short and neutral. Google removes reviews that break its Maps content policy, such as spam, conflicts of interest, harassment or off-topic content, but you cannot delete a review yourself.
To report one, go to your Business Profile, select Read reviews, choose the report option next to the review and pick a reason. You can also use Google's Reviews Management Tool to report a review. Google says evaluation typically takes several days.
- A one-star review from someone you have no record of: "Hi Morgan, we take all feedback seriously but can't find a booking or purchase under this name. If we've missed something, please call us on the number on our profile so we can look into it. โ Lee, Owner"
Do not accuse the reviewer of lying in public, and do not post their personal details to prove a point. Our article on fake reviews and how to protect your business covers spotting and reporting them in more depth.
What should you never put in a Google review reply?
Never include private information, threats or offers linked to the review. Google's Maps content policy prohibits posting personal information without consent, and the same care applies to everything a business writes publicly.
- Personal details about the reviewer, such as their address, phone number, order history or what they bought.
- Anything about a patient's or client's health or treatment. In June 2023 the US Department of Health and Human Services' Office for Civil Rights announced a settlement with a New Jersey health care provider over patient information disclosed in replies to negative online reviews.
- An offer of a refund, discount or gift in return for changing or removing a review. Linking rewards to review sentiment conflicts with Google's policy and the FTC Consumer Review Rule.
- Threats of legal action or pressure to take a review down.
- Copy-and-paste replies or lists of keywords and locations. They read as automated and add nothing for customers.
- Arguments about who is right. Readers judge the reply, not the original disagreement.
Health care, legal and financial businesses have extra confidentiality duties. Keep replies general and do not discuss a person's care, case or account, even if they have shared details in their review. This is general information, not legal advice.
Should you reply to every Google review?
You do not have to, but replying to most reviews is a sensible habit. Google's local ranking help page says replying to reviews shows that you value customers' feedback, and that positive reviews and helpful replies can help a business stand out.
Google does not publish a ranking weight for replies, so treat them as a trust signal for people rather than an SEO shortcut. Prioritize negative and mixed reviews and detailed positive ones, then add short thank-yous where you have time. Our article on how Google reviews affect local SEO explains what Google says about review count and ratings.
Set a routine so replies do not pile up: check new reviews on the same days each week, reply to negative ones within a working day or two, and agree who on the team is allowed to post replies.
How do review replies fit into getting more reviews?
Replies show customers that reviews are read, which makes it easier to ask the next customer. The other half of the job is asking every customer in the same way, at the end of the visit, with a link that opens your review form directly.
For in-person businesses, a printed card or counter stand with your review link on an NFC chip and QR code is a practical way to do this without typing links. A Google review card arrives pre-programmed with your link for a one-off price, with no subscription. Whatever you use, ask everyone, not only customers you expect to be happy, as explained in our guide to review gating.
